Administrative requirements

The deployment of the Data Retrieval Finland service begins when the organisation using the service sends the KEHA Centre a connection form. On the connection form, the organisation must notify the KEHA Centre of how it intends to use the service. When the KEHA Centre has received the connection form, it will work with your organisation to find out what information the e-service will retrieve from the registers of authorities in other EU countries using the Data Retrieval Finland service.

When your organisation wants to start using the Data Retrieval Finland service, it must provide the following information on the connection form:

  • how the e-service will use the Data Retrieval Finland service
  • whether the e-service will use the Information Download service to receive information from OOTS.

There are multiple ways of using the Data Retrieval Finland service to enable a wide range of e-services to connect to it and use it with minimal technical modifications. Making these choices may seem complicated, so it is a good idea to consult the e-service’s technical maintenance team when considering how the service will be used. In addition, the KEHA Centre’s Digital Single Market team will help clarify options if necessary. Read the Technical Capabilities section to learn about how the service is used before submitting the e-service information on the form.

When the KEHA Centre has received and processed the form for connecting to the Data Retrieval Finland service, it will appoint a contact person for your organisation. In addition, the KEHA Centre will create a Microsoft Teams channel for your organisation to allow your organisation to quickly contact the contact person and the technical support for the service before, during and upon transition to production.

When the Teams channel has been set up, the KEHA Centre will invite your organisation to a virtual meeting. At the meeting, you will specify what information should be retrieved from the registers of authorities in other Member States using the Data Retrieval Finland service. In addition, you will make a preliminary agreement on the timetable for connecting the e-service and resolve any unclear issues.

Before the meeting, read the procedural requirements in the Evidence Explorer service implemented by the Commission. 

After the meeting, the KEHA Centre will provide an estimate of the earliest possible transition period for the e-service. Your organisation can then estimate its timetable for connecting to the Data Retrieval Finland service.
